Service Charter agreement between Lindsay Court Residents Management Company Limited and Trinity Estates - January 2014

This document summarises the key levels of service expected by Lindsay Court Residents Management Company Limited (hereinafter referred to as RMC) from Trinity Estates. It should be viewed as complementary to any existing contractual or written agreements between the parties

A commitment to always use best value service providers and to seek quotes for agreed spend limits
On site visits at least once per month with prior notification given to RMC. Where possible an RMC director will attend
Sign in procedure for on site visits
Oversight of exemplary upkeep of communal areas (for example and not limited to indoor cleaning, gardening, general maintenance, outdoor areas, bin stores etc.
Following each site visit, an email to RMC directors of any issues found and remediation proposed
Prompt response to issues notified by residents, through the RMC. Proactive communication with residents, through the RMC, updating on issues raised
Proactive and appropriate follow up with vendors to ensure notified issues have been addressed and resolved
Full transparency to all costings including quarterly budget reviews to check spend to date
Provision of receipts and invoices when requested
Early engagement with annual budget (minus two months) to allow RMC adequate time to review and input
A clear indication in the budget pack of contingencies and reserves that are being budgeted for with option to aggregate all contingencies into one total reserve if requested by RMC
